Event Manager - Film Premier

Summary of Role

As the Event Manager for the Collective Fashion Justice (CJF) Film Premier, my role is to ensure the smooth and efficient execution of the event and oversee the planning process. I will provide a central point of contact for all stakeholders including CFJ, Sponsors, Attendees, Venues, Contractors, Suppliers and Volunteers.

 

Responsibilities

 

Note: This event had to pivot from a physical to a virtual event due to COVID19 lockdown / restrictions in Melbourne.

 

- Draft and manage the Event Budget working closely with Collective Fashion Justice (CFJ) Founder

- Draft and manage event project timeline, alerting CFJ of approaching deadlines. 

- Research and approach appropriate suppliers and contractors and make selections based on creativity, quality, and costs (sponsorship) 

- Venues (Cinemas)

- Food & beverage 

- AudioVisual  

- Styling 

- Entertainment 

- Photographers 

- Arrange and manage all required permits, contracts & risk assessments.

- Sponsorship management and obligation fulfilment: 

- Reach out to potential sponsors including event suppliers mentioned above. 

- Draft sponsorship contracts 

- Ensure all sponsorship obligations are fulfilled 

- Set up and manage attendee event ticketing system, including tracking RSVPs, answering questions, and resolving any issues. 

- Research speakers for Panel discussion

- Approach speakers

- Draft topic discussion points

- Supporting the planning of panel discussion

- Arrange pre-event run through to coordinate speakers, timings, answer queries.

- Set up Facebook event. 

- Reach out to potential influencers to promote the event. 

- Coordinate a fundraiser raffle 

- Contact sponsors to donate prizes 

- Arrange for raffle prizes to be sent 

- Organise raffle ticket sales. 

- Visual Creative:

- Create Welcome holding slides (include relevant sponsors)

- Panel Discussion Powerpoint 

- Shop: Assist with shop set up including, racks, point of sale, changing area, volunteer staff. 

- Knitwear Showcase: 

- Work with CFJ on a creative showcase of the CFJ Knitwear.

- Execute showcase. 

- Source and hire event staff as needed. 

- Manage set up and pack down of the event ensuring OH&S.
